The assistant project manager reports to the construction group manager and is responsible for supporting the project managers with the management, administration, growth and profitability of the projects assigned within the business segment, including implementation and success sections of the annual strategic business plan. Essential Functions

  1. Assisting project managers with planning, organizing, controlling, and coordinating all aspects of the projects sold or given to the project manager.
  2. Assisting project managers with scheduling jobs based on the schedule provided by the general contractor and the capabilities of the available foreman.
  3. Maintaining liaison with the project managers, the department manager and the billing administrative assistant on problem accounts receivables.
  4. Working with project managers and department manager and employees in support of all facets of the company.
  5. Working with project managers department managers and the president in support of the corporate goals, mission, and vision.
  6. Support the project managers with managing the necessary administrative records and controls to protect the interests of the corporation and the customer, to include prompt and accurate invoicing, submittals and shop drawings, and close out materials.
  7. Resolving customer concerns and complaints in a timely, efficient and cost-effective manner.
  8. Coordinating the efficient use and allocation of the co-op's time.
  9. Working with suppliers on pricing, performance, reliability, and availability.
  10. Performing all duties as directed by the project managers and department manager.
  11. Overseeing all projects to ensure optimal customer service, efficient use of equipment and time, and meeting departmental strategic and budgetary goals.
  12. Participate in sales calls in support of initiating work for the construction department.
  13. Develop understanding of HVAC and plumbing systems and the controls that support them.
  14. Evaluation of vendor and subcontractor proposal to ensure compliance with the job requirements and specifications.
  15. Support the estimating of HVAC and plumbing projects and change orders to comply with corporate profit guidelines and project requirements.
  16. Assist project managers with conceptual design and pricing to support conceptual design for both HVAC and plumbing.
  17. Survey potential projects and identify best solutions for pricing.
  18. Coordinate permits and inspections to ensure all project schedules are met.
  19. Coordinate with service department dispatchers to ensure efficient use of technicians' time and effort.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle, or feel; and reach with hands and arms.

This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bending or standing on a stool as necessary.

Position Type/Expected Hours of Work This is a full-time position and hours of work and days are Monday through Friday 8:00am to 5pm.  Occasional evening and weekend work may be required as job duties demand.

Travel

Travel is primarily locally during the business day, although some out of the area travel and overnight may be expected.

Required Education and Experience

  1. Three or more years of combined practical and academic experience in the full range of HVAC sub-fields.
  2. Demonstrate the desire to successfully direct and coordinate the requirements of the customers, employees, outside suppliers, delivery schedules, and subcontractors.
  3. Possess the ability to negotiate with suppliers and vendors to ensure prompt and timely delivery at the lowest possible price.
  4. Good oral and written communication skills.
  5. Strong desire to develop excellent leadership and supervisory skills to motivate employees to higher achievements and to keep the company morale high.
  6. Desire to develop ability to promote and sell projects and contracts on the phone and face to face.
  7. Ability to comprehend and implement applicable HVAC related federal, state, and local governmental laws, codes, and regulations.
  8. Have a valid driver's license.
  9. Ability to represent the company at HVAC related social activities.

Familiarity with the following computer programs; Excel, Word, Access, Outlook, and Job Cost Accounting software.

Work Authorization/Security Clearance

Ability to be insurable by MAXAIR'S motor vehicle insurance carrier.

Ability to pass a pre-employment drug screening and participate in drug free workplace program.
